Who we are
Galaxy Insurance Brokers (“Galaxy”, “we”, “our”) is a licensed independent insurance brokerage operating in Winnipeg, Manitoba. We are bound by the federal Personal Information Protection and Electronic Documents Act (PIPEDA), the Insurance Brokers Act of Manitoba, and the rules of the Insurance Council of Manitoba.
Information we collect
To quote, place or service an insurance policy we collect information that is reasonably necessary for those purposes. This typically includes:
- Identifying details such as your name, date of birth, address, email and phone number.
- Policy details such as vehicles, properties, drivers, business operations, claims history, and current coverage.
- Payment information needed to bind coverage or process premium payments.
- When you submit a contact or quote form on this website, the content of your message and the date and time you sent it.
- Basic technical data — such as IP address, browser type and the pages you visit on this site — collected through cookies and standard server logs.
How we use your information
We use your personal information to:
- Quote, place, renew and adjust insurance policies on your behalf with our carrier partners.
- Investigate, report and support insurance claims, including communicating with adjusters and carriers.
- Comply with our regulatory and record-keeping obligations under Manitoba and federal law.
- Communicate with you about your policy, renewal dates, billing and changes that may affect your coverage.
- Improve our website, identify and prevent fraud, and protect the security of our systems.
Who we share it with
We do not sell your personal information. We share it only when it is necessary to provide the service you have asked us for, or when we are required to by law. That includes:
- Insurance carriers and underwriters we approach on your behalf to quote or place coverage.
- Premium-finance companies, payment processors, claims adjusters and other service providers acting on a policy you hold.
- Government bodies and regulators — including Manitoba Public Insurance and the Insurance Council of Manitoba — when required.
- Our software providers (for example, our broker management system) under contracts that require them to protect your information.
How we protect it
We use physical, technical and organizational safeguards appropriate to the sensitivity of the information — including secured office premises, access controls on our broker systems, encrypted transmission of forms submitted on this site, and staff training on confidentiality. Despite these safeguards, no system can be guaranteed perfectly secure; we encourage you to use strong, unique passwords on any account you create with us or our carrier partners.
How long we keep it
We keep your information for as long as you remain a client and for the period required by Manitoba insurance regulations and our errors-and-omissions obligations — generally seven years after the end of a policy term, longer where a claim or litigation is involved.
Your rights
You have the right to:
- Ask what personal information we hold about you and request a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw consent for non-essential uses (subject to legal and contractual restrictions — for example, we cannot service an active policy without your information).
- Make a complaint to our Privacy Officer, and to the Office of the Privacy Commissioner of Canada if you are not satisfied with our response.
Cookies and analytics
This website uses a small number of cookies that are strictly necessary for the site to function, and aggregate analytics to understand how visitors use our pages. Analytics data is not used to identify individual visitors. You can disable cookies in your browser settings — the site will still function, though some features may be limited.
Changes to this policy
We update this policy from time to time. The “last updated” date at the top of the page reflects the most recent change. Material changes will be communicated to active clients where appropriate.
